Hello all! I would like to know what other users do to follow up on quotes that have been sent to the customer. Is there a compatible sales app for note taking that would make it easier for property communication.For example, we use Issues for quote requests...once the quote is sent, the issue is completed. After that...I feel there is not a good way in Aspire to make notes about the customer approving it.Items like what days they want it scheduled, parking permits required or approved, ...just information that needs to be documented on the quote before it is scheduled or about scheduling.

I am looking for a list of material once a job is complete to give to a customer. We would like to give a list of plants to them if they need to call us back about a plant. Then, the customer will know the name of the exact name of the plant they are looking at. This will help us streamline when they call into the office. Does anyone give there customers a report/overview of the hardscape they complete for the customer? Once we are done with a hardscape project we are trying to market that we can do there landscaping/mowing. Does anyone else do this and what are your ideas?
Our company is new to Aspire. While we are all trying very hard to learn the system and all it’s functions. I don’t know that we are all on the same page about what the system can do. Is there anyone with quite a bit of knowledge that has been using Aspire, that is willing to sit down and walk me through a fully set up system.I wouldn’t want to know all the ins and outs, but I would like to see how you have your work flows, lists, how you’re using your daily plan and invoicing. I would really like to see how this system is supposed to work from start to finish. At times it feels like we are piecing things together instead of the system just flowing like it’s designed to do.

Is anyone running payroll from Quickbooks? How are you dealing with all the entries exported to Quickbooks vs weekly hours? I’ve just had issues with unapproving times when an error is encountered and exporting hours again. This doubles hours and I have to manually fix.
I love learning how others are using Aspire. I’ve read through most of the knowledge base at this point, and have gleaned some neat tricks from it. My favorite “pro tip” is to enable the filter headings and grouping headings in advanced search. You do this in the user settings menu. So many people don’t know what those buttons do and the leave them off because that’s the default. What’s your trick or tip?
Our company’s Installation Service names are fairly “general” as we provide a wide scope of services. If we had a specific service made for every service we provide, we would have an overwhelming amount of services in our catalog and would have to be making new ones all the time for niche services. This means that our Services named things like “Plant Installation”, “Hardscape Installation”, etc get used for many purposes, and we typically will change the Display Name and Service Abbreviation within Estimates to make it clearer what the Service is actually for. It also means that often Services like “Hardscape Installation” appear several times on the same estimate under different groups. This works fine for scheduling and proposing Opportunities to customers (because they use the Display and Abbreviation names), but when we get to Purchasing, the only option to add to any lists to denote what Service the items for purchase are associated with, is the Service Name (which like I said, a

Hi! Ever since we started aspire we have struggled to figure out the best way to handle the items on our seasonal color proposals. I was wondering if anyone has experience with this and has found a way that works well for them. Ideas we have been work shopping are 1)having specific plant names 2)just plant sizes 3)just a plant budget. Each way we have tried has good things and bad things and nothing has worked great. Clients are sending us this screen shot saying they are unable to e-sign proposals. I have an aspire care ticket in, but we are continually getting this feedback from clients. Has anyone else experienced this?
I'll try to explain my question, I think it will make sense. I am wanting to know or understand how other companies structure some of their estimating, and what is best practices with Aspire. Currently on maintenance items such as lawn mowing, we guesstimate the amount of time the job will take and enter that as the labor hours in Aspire. It sort of works, however it is not a plan for long term growth. And even with experience on how long it will take to mow something, it is easy to be off on the time. Not really a plan for consistency going forward. This also does not include any drive time to the jobs then, all that time is extra on top. We do have our hourly rate sort of reflect that, but I don't think this is exactly how Aspire is meant to be used or set up. So I was wondering how does everyone else have this structured? Should we have all of that type of service strictly based off of production rates? And if so, how detailed do you go with takeoffs? Are you measuring linear ft of
In the past we used a software that allowed the foreman each morning to access a drop down menu and select their crew for the day. This was very flexible and one of my hopes for aspire. Any chance this could be an option in the near future for an update?
We are looking into ways to present proposals that contain multiple packages/tiers for different services. For example, we have a Lawn Opportunity Template that has three tiers (Renovation, New-Hydroseed, New-Sod). This way we can essentially create three proposals, using the same take off, and provide the customer with options to choose from. The presentation of this with our current opportunity layout is kind of messy looking in my opinion. I am wondering if anyone else has found/made an opportunity layout that might look better. Any opinions on layouts in general are appreciated!

Does anyone know if a change order can be deleted after it’s been won?I don’t see the option on my end, and I don't know if that is a permission access that will need to be allowed for certain users. Or does Aspire not allow for change orders to be deleted after they are won.
I would like to prevent them from appearing in the Invoice Assistant queue. Is there a setting, filter, or workflow that would allow unbillable invoices to be excluded from the list? Thank you.

We acquired a Pool Maintenance branch in the Carolinas and have been working to configure Aspire for the unique demands of pool maintenance and service operations. As a company we mainly use the copy opportunity function for our renewal process and go through and change info as needed. We would love to switch to using the renewal function but have noticed that when we use renewal it alters the hours in the contracts. We assume this is to make the contract more profitable but that is not always the case. Is there a way to turn this off or change the factor it alters the hours by?
