Who is using visit checklists. Can I make a checklist and add it to a service once an opportunity is already won? I have not used them much. Thank you!

We haven’t used Visit Checklists, yet, so are in the similar position as you, looking for help. Wondering if we could make a Longer term “Service” in order to Check off a number of seasonal services, say for a month.

We are also in the beginning of this process...so that said...

The visit checklist requires a fair amount of set up on the services. In previous conversations with our CRM he was suggesting that we don’t go overboard, but rather focus on checklist for items that we see as a trending issues. 

From what I’ve seen the checklist cannot be added after the opportunity is won. It can be set up to where it populates automatically by service, or you can add a one time checklist item during the estimating process.

Yes! Even after an opportunity is won, you can still add one-time checklist items or choose from your pre-built options. You can apply them to just one visit or to all subsequent visits. The Reports > Visit Checklist report is also very helpful.

The main challenge at first is training crew leaders to become familiar with the process. Otherwise, checklist items may be left open and quickly build up into a long list.

One lesson we learned: Be careful when saving an opportunity as a template. We once saved one that included service checklist items, so every future opportunity created from that template inherited the same items. We then had to go back and remove them all!

We’re playing with putting checklists in for certain services as well. Since we didn’t decide to start doing this until after a year of using Aspire, the downside as you all mentioned is the time commitment it will be to add them to services on existing contracts. Because even if you apply checklist items to a service in the Service catalog, it doesn’t retroactively apply to existing contracts that contain that service, only to newly created ones or it can be updated when the contract renews (if you choose). Especially when you have hundreds of active contracts, it’s not very efficient to have to go contract by contract, service by service adding individual checklist items. It’s nice that we can choose to have a checklist item populate for future tickets of that same service when you add them in if you need, but at the very least, it would be so nice to be able to add visit checklist items in bulk to each service rather than one item at a time, or to be able to make a “mass change” to affect all instances of that service for a certain group of Opportunities.
