We are new to Aspire - my question is for the office manager or administration people?

 

What tasks do you perform on a day to day to make the most use out of Aspire and to make month-end seamless?

Hi ​@AshleighGlo -- That’s a very large question that I think has a lot of “it depends” situations. We went live with Aspire in January of this year and I led the implementation of our operations, I’d be happy to chat with you if you need someone to bounce these questions off of.

Hi my team and I created multiple dials for all month end lists of items to review by close date. It really all depends on what items you need to review and complete and then create a dial for “last month” to use for closing.

I would recommend focusing on all End-of-Month tasks.

During the month-end close process, we review the entire End-of-Month task list. Based on our experience, it is critical for the operations team to develop the habit of keeping these tasks updated weekly by marking them as "Last Week" or "Through Last Week."

Over time, this consistent weekly discipline will help everyone build a stronger daily habit of maintaining the task list and staying on top of outstanding items. Like any process improvement, it takes time and effort to establish the habit, but the long-term benefits are well worth it.

We’ve been in Aspire for about 18 months and every month we attempt to get better information. This quarter we’ll be focusing on getting account managers and salesmen to manage their work ticket lists. Work tickets arent COMPLETED until all costs and hours are accounted for. The goal is continue to improve our operations and let everyone see where the gaps are. Stay tuned!

My dashboard has reports for things that I need to audit- usually things on EOM- and I send them out at least once a week to our management and print them off for our weekly meetings to make sure we are not missing things. This helps EOM clean up.
