Internal Equipment Maintenance: Best Practices for Repair Scheduling, Cost Tracking, and Service History

Hey everyone!

I'm relatively new to Aspire and looking for advice on streamlining our internal equipment maintenance and repair operations.

I come from a heavy equipment dealership service management background, where I'm accustomed to managing everything through repair orders, including technician scheduling, labor, parts, outside repairs, and detailed equipment repair histories.

I've been reviewing Aspire's Equipment Module, Equipment Scheduling Board, and Service Log documentation. While I understand the individual features, I'm struggling to connect them into an efficient maintenance workflow.

A few specific questions:

  1. Service Requests: When an operator reports an equipment issue through Aspire, how are you managing that request from initial diagnosis through repair completion? Is there a way to track statuses such as waiting on parts, scheduled, in progress, or completed?

  2. Mechanic Scheduling: Are you using overhead work tickets and a dedicated maintenance route to schedule your mechanics? If so, how are you organizing and prioritizing repairs?

  3. Labor and Parts Costing: How are you capturing actual technician labor, inventory parts, and outside vendor expenses for each repair? Can those costs be associated with a specific equipment asset?

  4. Service Logs: Aspire allows you to enter service hours, technicians, and repair costs in the Equipment Service Log. However, the documentation states that service costs are not included in Aspire's financial reports. Are you manually entering costs in both work tickets and service logs, or is there a better method?

  5. Repair History: What's the most efficient way to pull up an individual piece of equipment and quickly review its complete repair history? Ideally, I'd like to see previous complaints, repairs performed, parts replaced, labor hours, costs, and service dates in one place. Are you using the Equipment Service Logs for this, or have you developed a better way to organize and retrieve historical repairs?

  6. Reporting: How are you tracking total maintenance costs by asset, open repairs, and equipment downtime to support repair-versus-replace decisions?

My ideal workflow would be:

Equipment issue reported → Repair request created → Mechanic scheduled → Labor and parts recorded → Repair completed → Costs and repair history associated with the asset.

I also want to be able to select any piece of equipment and easily review its entire repair history without digging through multiple screens or records. Having that information readily available is extremely valuable when diagnosing recurring issues, evaluating equipment reliability, or determining whether continued repairs are financially justified.

I'm not trying to force a dealership management system into Aspire, but I do want to build a process that provides accountability, accurate repair costing, easily accessible service histories, and visibility into our maintenance operations without excessive duplicate data entry.

I'd really appreciate hearing how other companies are managing this, particularly those with dedicated in-house mechanics and larger equipment fleets.

Thanks in advance!
