How do I remove Employees from Routes they aren't assigned to in Open Time Entry?

Hello. I'm having an issue with Open Time Entry in Aspire and would appreciate any advice.

We have a route called Mow Route, which should only include the employees performing mowing work. However, when I open Time Entry for Mow Route, multiple employees appear, along with the hours they worked on other tickets, such as construction work that should be under a separate route called Group 2.

For example, I checked one of the affected work tickets. The Work Ticket Visits screen shows Group 2 as the assigned route, and it also appears on the Schedule Board under Group 2. However, the employee's hours are also appearing in Mow Route Time Entry. The concern is that when I approve time through Mow Route, time entries for unrelated work tickets may also be approved, even though those tickets should remain under Group 2.

We want to keep the approval workflows separate because different people are responsible for approving time for each route. We don't want the Mow Route approver to inadvertently approve time entries for employees or work tickets that belong to Group 2 or other routes.

Here's what I've checked:

  • Manage Routes appears to be configured correctly.

  • Mow Route's Crew section in Manage Routes was empty, so I tried adding the designated crew members. However, the other employees are still appearing in Mow Route's Open Time Entry screen

Has anyone experienced this, or is there a specific setting or workflow we should check?

Where can I remove or unassign employees from routes they don't belong to so they only appear in the correct route's Open Time Entry?

Thank you in advance!

@CPierceH, it sounds like @BHarwood has you taken care of, but I wanted to share a list of reasons why crew members may appear in a route’s Time Entry screen in case it’s helpful:

Crew Members may appear in a Route's Time Entry screen if:

  1. They are assigned to said Route's Crew.

  2. They logged hours from said Route's Crew Leader's device. (Or if you have the setting turned on where Crew Members can use their own device and select their Crew Leader, they will appear on the Route for the Crew Leader they selected.)

  3. They logged hours against a Ticket scheduled for said Route on that date.

  4. They logged hours in the Crew Mobile app while viewing said Route in the Schedule area.

  5. They were manually added to said Route's Time Entry screen.

  6. Their hours were manually added to the employee's individual Time Entry (via Weekly Time Review) and said Route and/or Crew Leader was specified when the hours were accepted.

  7. There could be ClockTime records that exist for the crew member which were created from the device, but for which time has not yet been accepted.
