We have a customer that wants to change their renewal date from Oct. to January.  They want  a 15 month contract from Oct. 2024 - Dec 2025.  I know Aspire only does 12 Month Contracts, but has anyone had a similar situation, and how did you work around in Aspire?

Create a "stump" from now through 12/31/24 and a second opp from 1/1/25 through 12/31/25


We experienced this when a customer that started mid year wanted to move to a Jan start date.

We do as David mentioned above.  But this only worked because the customer only had regular schedule of services: 52 mow schedule and once a month irrigation inspections and fert services. Of course this didn’t alter their monthly expected bill and was easy to set up normally in Aspire, just doing 5 months instead of 12.  We did have to ensure the services were scheduled correctly though.

We have had to brainstorm an asymmetrical contract extension: where it is just a 42 mows for 12 months and they have a couple once a year services like Crepe Myrtle trim and Palm trimming. For those we had to see if they wanted any of those one time annual services before the next annual contract started and if so would do a separate work order charging full price invoice for that service.  This seemed to keep it simpler than other options we considered.   

We have had a HOA board think we were trying to sneak in a price increase when we did a partial year contract extension because they really didn’t understand that those one time services prices weren’t spread over 12 months as usual.  We probably could’ve done more to explain that right from the beginning of the conversation to avoid the unnecessary pessimism it generated.
