Hey Sherrin - happy to take a crack at helping out.
First for clarification - the process below will work under the following assumptions:
- Your words “revenue received” mean Invoiced Revenue (and not Earned Revenue or Payments Received)
- The company in question is assigned to each of the properties you wish to include in the report
Option 1: To get a quick view of Earned and Invoiced Revenue for a company, you can view the Company Overview screen:
- Navigate to the Properties module
- Upper-Left corner → Click on “Companies” → Search the company → Click on the company
On the left side of the Company Overview screen, it displays the total Earned Revenue and Invoiced Revenue for all properties associated with the company, over the selected time period (period selection dropdown is just to the right of that).
If you click on each of the numbers, it gives you a list of transactions that sum up to the total $ displayed.
This can be useful for quick reference, but it does have it’s limitations:
- You cannot export this list
- You cannot derive a receivables balance from this list (only invoices, no payments)
Option 2: If you need a list of invoices that can be exported, you can retrieve that from the Invoicing module, by applying a “Company Name” filter to the default list on the “Invoices” tab (and a date filter, if needed)
This also has (potential) limitations, though:
- You could add “Invoice Amount” and “Amount Remaining” columns to this list, but it wouldn’t include any payments that were received into Aspire but not applied to a particular invoice (ie. down payments, prepayments, etc - these will show at the property level receivables report)
Option 3 (best for Revenue Reporting by Company): Open a filtered Profit and Loss Report:
- Reports module → “Standard Reports” → “Profit and Loss” (middle column, 3rd from the top)
- 3 dots (upper-right) → Set Date Range AND type the company in the “Company” box (right column, bottom box) → Click “Save”
Now you can see all Earned and Invoiced Revenue for the company over the date range selected. Even better - if you want a listing, you can drill into any number (even the Total) and it will open up a customizable/exportable list for you to do with it what you will.
