Is there a way to have clients sign up for autopay when they sign their initial proposal/contact? We want to have their signature or approval in some way for the autopay, of course, then would love to have that be automatically started. If we have to do it manually for now, I understand, but we want to encourage them to sign up for autopay AS SOON AS they sign their contract. Many of our clients are tired of monthly invoices and/or having to check the portal on their own since the Aspire emails tend to go to their junk/spam folders in their email.

As far as automatically, I do not think so. You can put some verbiage in your email template to call or email your sales rep/the office to set up autopay (if you are sending your proposals directly out of Aspire), or encourage sales to ask for permission to autopay if you don’t.

We don’t send our proposals right out of Aspire, due to items in our terms we want the client to initial off on (photography/social media permission and autopay, for example). In our proposal terms, we have a box to check to opt into auto pay, and once they opt in, we have “Net XX Autopay” payment terms set up which they get set to instead of normal Net XX. You can then create a list in the invoicing assistant for only the Net XX Autopay clients to stay on top of invoices to create and apply payment at whatever cadence your company operates on.

 


I agree with ​@jgrasch there is not an automatic option. You could add it to your payment terms as your standard….adn ask them to opt Out if they do not want to be on Auto Pay….


If you are looking to gain a signature authorizing the set up of auto pay.  It is possible to add a signatory page to the proposal template to act as your auto-pay enrollment form to include all the necessary data fields that are required to set it up. It could then still be sent through Aspire for them to print (or fill and sign) and email back. Report Designer makes your proposals customizable to fit what you and your company are needing to do.

@jgrasch - can I ask what system you use to send your contracts through? And if you are able to still liknk them to Aspire? I was looking into Docusign and suing a third aprty ot link to Aspire. Just wondering what you have used and had success with personally! 


@proscapeadmin Maybe I worded it poorly, we don’t have a separate system per se but we just print the .pdf out of Aspire and send it as an email attachment (or print it physically and deliver/snail mail, depending on the sales rep/client). Maybe a bit inefficient but it’s just a preference thing. We have experimented with sending them out of aspire and the e-sign functionality (and have it on in the settings) but nobody uses it.


@jgrasch No you worded it fine! I assumed a bit and I am new to the industry so I wasn’t fully following. That makes sense  - and cheaper too I’m sure! I will continue exlporing programs to assist us with making collecting sigatures (specifically for allowing autopay) when initiallly singing the contracts. Thanks for your help! 


@jgrasch To be clear, you do not email the straight from Aspire, right? I have foudn that 9/10 times they end up in the customer’s junk folder then things go nowhere with the contract unless we specifically follow up with the customer to have them check their junk/spam folder. Which usually resutls in us having to resend it. 


@proscapeadmin Yes correct, we just send the email in Outlook.
